
REGULATION OF TIME RECORDING
AND LATE TO OFFICE
Time Card Regulations
a) All employees must punch their time cards or swipe their identification card/time card through the electronic time card machine when they come to work and leave their work.
b) All late to work will be regarded as a mistake and the employees will be punished according to the Company punishment policy (see also Article 6.2 - Time Card Discipline).
Time Card Discipline
a) Employees who come to office late or leave office early on a frequent basis will be disciplined as follows:
i) Late (or early leave) for one time in a month and for one minute or more - not eligible for diligent allowance.
ii) Late (or early leave) for two times in a month but not more than 5 minutes - Not affect bonus calculation, if any.
iii) Every 3 times of late (or early leave) in a month will affect bonus calculation (details as per Bonus Notice).
iv) An employee who is late to office (or early leave) by more than 1 hour, he must submit a Leave Form to the concerned supervisor for approval. This will be treated as Personal Leave without pay. The leave applied for must be to the nearest hour, i.e. 1 hour, 2 hours, etc. If the supervisor approves the Leave Form, the leave taken in the month will be deducted from his/her wage/salary payment in the following month. If the leave is not approved by the supervisor, the leave will be considered as absence. The period of absence will be deducted from his/her salary/wage payment in the following month. In addition, the Company may consider taking disciplinary action against him/her. In summary, all hours/minutes resulting from late to office or early leave for the month will be accumulated and the employee will be paid according to actual hours Worked.
v) For employees who are frequently late to office or leave early, apart from being considered for disciplinary action, their performance evaluation and wage/salary increment will also be seriously affected.
b) Employees are not allowed to punch or swipe time cards for others.
c) An employee who is found punching or swiping time card for others will not be considered for salary increment for that year and will be punished according to the punishment policy.
d) An employee who allows others to punch or swipe his/her time card will not be considered for salary increment for that year and will be punished according to the punishment policy.
e) An employee should not erase or write the time in time card. Any discrepancy has to be approved by the concerned department manager.
f) If an employee forgets to punch time card when he/she comes to work or leaves their work and has not notified the Administration Department or the concerned department manager, he/she will be considered as absent for half day. To avoid the absence, he/she should get his/her department manager to approve on the time card.
g) In the event that the employee has to go out for duty, he/she must submit “Outdoor Permit” to the concerned Division or Department Manager for approval. He/she will then swipe the time card and hand in the permit to the guard on leaving the Company. The guard must return the “Outdoor Permit” collected for the day to Administration Department the following morning. Administration Department will then distribute the permits to the concerned department or division manager for verification. After the manager verifies and countersigns on the permit again, it will be passed back to Administration Department for processing and record.
